Consider and take action on a resolution authorizing an expenditure of an amount not to exceed $114,975 with Baker and Taylor, Inc. through Texas Smart Buy for the purchase of library print and audio-visual materials (Director of Parks and Cultural Services)
Background:
Approval of this item will authorize the Helen Hall Library purchase of print and audio-visual materials. The State of Texas developed an RFP solicitation for all public libraries that allows those libraries to purchase the aforementioned without the library having to solicit individually. This affords the library the ease of ordering through national distributors and gain the benefit of terms and discounts offered throughout Texas.
Information is attached detailing Texas Smart Buy 715-M2, as well as the current Terms and Discounts for Public Libraries, which offers detail as to the discounts received with purchases in certain categories.
The FY2020 budget included $197,975 for new materials of all types, some of which will be purchased through other vendors. The Library estimates total purchases of $114,975 print and audio-visual materials from Baker and Taylor through this state contract.
As noted on the attached Texas Smart Buy 715-M2, the State of Texas currently has a state contract through February 2020. We anticipate the State renewing the contract that will take us to the end of the fiscal year.
