Title

Consider and take action on a resolution authorizing a rental agreement and related revenue-sharing arrangement between the City of League City, through The Ballpark at League City, and the League City Lions Club for the 2026 Village Fair at The Ballpark at League City on October 2 and October 3, 2026 (Executive Director of Facilities, Information Technology and The Ballpark)

Background

The League City Lions Club proposes to hold its 2026 Village Fair at The Ballpark at League City on Friday, October 2, and Saturday, October 3, 2026. The event is anticipated to draw approximately 3,000 attendees and will use the outside park area, excluding the baseball fields. The Lions Club will provide the stage, sound, and lighting for entertainment at its own cost. No carnival is planned.

The proposed rental agreement provides that The Ballpark will collect event admissions and applicable beer-sale proceeds through its point-of-sale system, then remit the Lions Club share after deducting applicable credit-card fees. Separate point-of-sale selections will distinguish baseball admissions from Village Fair admissions. The agreement also requires Ballpark approval of vendors, Fire Marshal inspection of approved vendors, and compliance with City and Ballpark facility rules.

Council Approval Requested

Council approval is requested for the following business terms in the 2026 Lions Club rental agreement:

Village Fair admission

Adults: $15.00; Children: $7.50 for children walking through the gate who are not in a stroller, will be remitted to the Lions Club.

Baseball admission revenue share

Adults: $15.00, with $10.00 retained by The Ballpark and $5.00 remitted to the Lions Club. Children: $7.50, with $5.00 retained by The Ballpark and $2.50 remitted to the Lions Club.

Food and Beverage revenue share

All food and beverage revenue share will be per the executed Ballpark Rental Agreement.

Collection and remittance

The City will collect the applicable gate fees and remit the Lions Club share, less applicable credit-card fees.

Event operations

The Lions Club may use approved vendors subject to Fire Marshal inspection; it will provide stage, sound, and lighting at its cost. No food trucks, outside alcohol, or outside food are permitted unless approved in writing by The Ballpark. Only League City Police Officers and Fire Marshals are authorized to work at The Ballpark.

Parking and sanitation

The City and Lions Club will coordinate overflow parking and mowing if needed. The Lions Club agreed that portable toilets will not be used.

League City Police security

League City Police Department personnel will provide security during the event.
