Consider and take action on a resolution amending Resolution 2024-188 to authorize cumulative expenditures not to exceed $2,300,000 with Sysco, Gordon Food Service, and/or Ben. E. Keith at The Ballpark for food supply services at The Ballpark at League City through September 30, 2027 (Executive Director of IT, Facilities and Ballpark)
Background:
This resolution seeks to amend Resolution 2024-188 to authorize additional expenditures for FY2025 and extend City Council authorization for continued purchases from Sysco, Gordon Food Service, and/or Ben E. Keith for food supply services at The Ballpark at League City through September 30, 2027.
On July 30, 2024, the City issued a Request for Proposals (RFP) for food supply services for an initial three-year term with two one-year renewal options. Proposals were received from Sysco, Gordon Food Service, and Ben E. Keith. Ben E. Keith was identified as the lowest-cost supplier based on the initial cost analysis.
However, due to ongoing fluctuations in food pricing and product availability, it is in the City’s best interest to maintain purchasing flexibility with all three vendors. A multi-vendor strategy ensures consistent food service operations and reduces risk related to delivery delays, backorders, and inventory gaps.
City Council previously approved anticipated FY2025 expenditures of $400,000 as part of Item 6J on October 8, 2024. Current usage trends indicate actual FY2025 needs will approach $650,000. Projected expenditures are $800,000 for FY2026 and $850,000 for FY2027. This resolution authorizes a total cumulative expenditure not to exceed $2,300,000 through September 30, 2027.
This extends Council authorization for purchases under the existing procurement framework for the stated period.
