Background:

Approval of this resolution with authorize the purchase of fourteen (14) Chevrolet Silverado PPV’s from Lake Country Chevrolet through GoodBuy Contract 24 8F000 in an amount not to exceed $1,080,603.

 

This agenda item addresses a recently identified opportunity to reduce the current delivery times of  previously approved purchases for 12 replacement and 2 new vehicles. These purchases reflect various FY23 and FY24 Public Safety vehicles. Prior approval details are as follows:

 

On February 28, 2023, Council approved Resolution Item 2023-41 under agenda item 6L for FY2023 replacement purchases of public safety vehicles (Purchase Order 2230777):

1)                     Patrol Unit 206 - Ford F150 Responder (replacement)

 

On September 26, 2023, Council approved Resolution Item 2023-146 under agenda item 6H of six (6) public safety vehicles (Purchase Order 2240020-001):

2)                     Patrol Unit 126 - Ford F150 Responder (replacement)

3)                     Patrol Unit 140 - Ford F150 Responder (replacement)

4)                     Patrol Unit 147 - Ford F150 Responder (replacement)

5)                     Patrol Unit 153 - Ford F150 Responder (replacement)

6)                     Fire Marshall - Ford F150 Responder (new)

7)                     Patrol Unit - Ford F150 Responder (new)

 

On September 26, 2023, Council approved Resolution Item 2023-147 under agenda item 6I of seven (7) Ford F150 Responders (Purchase Order 2240020-001):

Due to on-going supply chain limitations and delayed manufacture’s delivery times from Ford, the 14 F150 Responders previously approved now face further delays and will not be delivered as promptly as promised. The City’s Ford and Chevrolet fleet sales representative recently informed City staff of 14 Chevrolet Silverado PPV vehicles that are currently available for purchase at Lake Country Chevrolet (see Attachment 3). Staff recommends reallocation of approved funding from the two purchase orders for the aforementioned 14 Ford F150 Responders and moving forward with the purchase of the 14 available Chevrolet Silverado PPV trucks. This requires the reallocation of funds from cancelled purchase order No. 2240020-001 in the amount of $1,069,955 and deletion of item 11 from purchase order No. 2230777 in the amount of $62,648 to a new purchase order with Lake Country Chevrolet for a total not to exceed cost of $1,080,603. The new purchase results in a savings of $52,000. Details are as follows:

 

Item 11 deleted from P.O. 2230777 (1 - Ford150 Responder) - $62,648

Cancelled P.O.  2240020-001 (13 - Ford150 Responders) - $1,069,955

Total Cancelled P.O.’s - $1,132,603

New P.O. Total (14 - Chevrolet Silverado PPV’s) - $1,080,603

Savings - $52,000

 

The total purchase cost for the above-mentioned Public Safety units, including the $300 GoodBuy purchasing fee, will not exceed $1,080,603.  The vehicles will be purchased through GoodBuy Contract 24 8F000 and meets formal bidding requirements.
