Background:

Approval of this item will authorize the renewal of the City’s three-year agreement for Microsoft Office 365 for Government, effective from April 1, 2025, through March 31, 2028. This renewal ensures compliance with Microsoft licensing requirements and includes a true-up of the City's existing Office 365 licenses.

· Compliance with key regulatory standards, such as HIPAA-BAA, CJIS/DPS, IRS 1075, and other federal and state requirements.
· U.S. government-only cloud hosting, with data stored exclusively within the United States.
· Built-in resilience and disaster recovery, with data replication across multiple data centers for instant recovery in case of an emergency.
· Increased SharePoint storage capacity to facilitate hosting all department shared files
· Ability for employees to install Office 365 on up to five personal devices, such as tablets, laptops, and home computers. Licenses are automatically revoked when employees leave the City, ensuring security and compliance.
· Enhanced security with Microsoft Advanced Threat Analytics and Protection.
· SharePoint integration for the City’s intranet, and enhanced employee collaboration
· Intune for mobile device management (MDM)
· Microsoft Teams for inter-office communication and collaboration.
· eDiscovery & Audit Licenses
· Power BI Pro for advanced data analytics and visualization.

This renewal ensures that the City continues to benefit from the latest Microsoft productivity and security tools while maintaining compliance with industry standards.
