Title

Consider and take action on a resolution authorizing an agreement with Tetra Tech, Inc. for Debris Monitoring Services in the event of an emergency or disaster (Emergency Management Coordinator) 

 

Background:

Approval of this proposed resolution will authorize the City Manager to execute a contract with Tetra Tech to provide Debris Monitoring Services in the event of an emergency or disaster.   

 

This is a contingent contract to be utilized in the event of an emergency or disaster.  In order to qualify for reimbursement from the Federal Emergency Management Agency (FEMA) for debris removal services, all debris operations must be properly monitoring to ensure that loads are compliant with all regulations.  This contract must also be procured following all federal purchasing standards found in 2 CFR 200. 

 

Working with the Emergency Management Department, the Purchasing Department issued a Request for Proposals (RFP) for this service on October 10, 2017.  Five (5) responses were received on October 26, 2017. 

 

Based upon the stated criteria in the RFP, which included qualifications and experience, rates fees and expenses, project design and methodology, reporting capabilities, and references, the evaluation team of Ryan Edghill, Bo Bass, Chanel Jones, and Jody Hooks, recommends Tetra Tech as the primary contract.  The proposed contract is for an initial two-year term, with two one-year renewal terms available, upon mutual agreement of both parties.

 

CONTRACT ORIGINATION: Standard City Contract, approved by the City Attorney
