Consider and take action on a resolution to renew the three-year Microsoft Enterprise Agreement with SHI Government Solutions, Inc., through State of Texas Department of Information Resources contract #DIR-TSO-4092 for software licenses for a total amount not to exceed $173,727.00 per each year (Director of Information Technology)

Background:
Approval of this item will renew the three-year agreement (renewal beginning on 04/01/19 and ending on 03/31/2022) and true-up the existing Microsoft Office 365 licenses for Government. This will continue to enable the city to utilize the most current version and be license compliant with Microsoft.
Office 365 for Government brings the City many benefits, such as:
· Provide staff the ability to load Office 365 on five different devices such as tablets, laptops and home computers. When a staff member leaves the City, the licenses are revoked for that user, and the user will no longer have access to it.
· Office 365 is the first major business productivity service provider to sign requirements for the HIPAA-BAA, CJIS/DPS, IRS 1075 and many other compliance standards
· US Government Only located within the United States
· Built in resilience and disaster recovery; data is replicated to multiple data centers and instantly recoverable in the event of an emergency
· Reduction to overall staff hours required to support the email system, increasing resource availability for other projects
· Microsoft Visio software for police officers to utilize for accident drawings
· Microsoft Threat Protection
· Sharepoint for a city “intranet” site and collaboration with employees
· Skype business for inter-office communication
Purchases will be made off of the approved State of Texas Contract #DIR-TSO-4092
